Upload and manage your media

Upload photos, videos, and PDFs to your media library, then organize, preview, archive, or delete them. Everything you upload here is available to pick from later when you create a post.

Before you start

You need a brand selected in the top bar. Media you upload belongs to that brand.

Steps

  1. Go to the Media page.
  2. Drop a file onto the box that reads “Drop an image, video, or PDF here, or click Browse.”, or select Browse to choose a file from your computer. Select Add from stock, next to the dropzone, to import from the stock library instead. See Find and use stock photos.
  3. Wait for the upload to finish. The button reads “Uploading…” while it’s in progress. When it’s done, the file appears in your library and the storage gauge above updates.

Accepted files and size limits

You can upload:

  • Images: JPG, PNG, GIF, or WebP, up to 10MB each
  • Videos: MP4 or MOV, up to 100MB each
  • PDFs: up to 50MB each

If a file doesn’t match one of these types or is too large, the upload is rejected before it starts. See “If something goes wrong” below.

The storage gauge

Near the top of the Media page, a gauge shows how much storage you’re using, for example “120 MB of 500 MB · 34 items”. If your plan has no storage limit, it shows “no limit” instead. When you’re at 90% of your limit or more, a banner appears with your exact usage and suggests moving media you no longer need to the trash and emptying it, or buying more storage. The banner always states usage in MB, even when the gauge above it is showing GB-scale numbers. Select Get more storage (on the gauge) or the Billing page link (in the banner) to go to Billing & Usage.

Archiving or trashing media does not free up storage. The file still counts against your limit until you permanently delete it. See Delete media and use the Trash for how permanent deletion works.

Library, Archived, and Trash tabs

Above the media grid, three tabs control what you see:

  • Library: your active media, available to use in posts.
  • Archived: media you’ve put away but kept forever. It doesn’t appear when picking images for a new post, but it still counts toward your storage.
  • Trash: media on its way to permanent deletion. A note above the grid reads “Items in the trash are deleted permanently after 30 days.”

Actions on each item

Point at a tile to see its available actions. What you see depends on which tab you’re in:

  • Edit: images only. Opens the image editor (crop, adjust, add filters). See Edit an image.
  • Archive: moves the item to the Archived tab. Available in Library.
  • Restore: on an archived item, moves it back to Library. On a trashed item, moves it back to Library.
  • Trash: moves the item to the Trash tab. Available in Library and Archived.
  • Delete: permanently removes the item. Available only in Trash.

Select a tile (not one of its action buttons) to open a larger preview.

The preview modal

Selecting a tile opens a preview: the full image, a playable video, or, for file types that can’t be shown inline, a message reading “Preview not supported for this file type.” with an Open in a new tab link. Media imported from a stock provider shows an attribution line underneath (“Photo by {author} on {provider}” or “Video by…”). Action buttons appear at the bottom of the modal for the item’s current state only:

  • Library (active): Edit, Archive, Move to trash
  • Archived: Edit, Unarchive, Move to trash
  • Trash: Restore, Delete now

The modal uses Unarchive for an archived item, while the tile for the same item uses Restore (see “Actions on each item” above). The two surfaces label the same action differently.

The “In use” badge

A tile shows an In use badge when its media is attached to a post or a post’s page. Pointing at the badge itself shows “Attached to a post or group”. While the badge is showing, Archive and Trash are disabled on that item, and pointing at the disabled button shows “In use by a post or group”.

The badge tracks attachment only, not the post’s status: it stays on the tile for as long as the item is attached to a post, even after that post publishes. The server, however, only blocks archiving or trashing while the attached post is pending or approved. Once a post is published, rejected, or expired, the media can actually be archived or trashed even though the tile may still show it as In use. If Archive or Trash still won’t work on an item you expect to be free, remove the media from the post, or check whether the post is still pending or approved.

Selecting multiple items

Select Select above the grid to turn on multi-select. Select any number of tiles, then use the action bar that appears at the bottom of the page to run one action (Archive, Move to trash, Restore, or Delete now) on all of them at once. The exact actions offered depend on which tab you’re in. If some of the items you selected can’t complete the action (for example, one is in use by a post), the rest still complete and a message tells you how many were skipped and why, for example “1 skipped: Media is attached to a pending or approved post.” To leave multi-select mode, select Done above the grid, or Cancel on the bulk action bar at the bottom. Both exit multi-select and clear your selection.

Archive vs. Trash

Both Archive and Trash get media out of your everyday Library view, but they mean different things:

  • Archive keeps the file forever. Use it for media you’re done with for now but might reuse later. It never gets deleted automatically.
  • Trash is for media you intend to delete. Items in the trash are permanently deleted after 30 days, or sooner if you select Delete now. See Delete media and use the Trash for the full detail on restoring, deleting immediately, and emptying the trash.

If something goes wrong

“PNG, JPG, GIF, WebP, MP4, MOV, or PDF only.”: The file you tried to upload isn’t one of the accepted types. Convert it or choose a different file.

“File too large — max {N}MB for {category}.”: Your file exceeds the size limit for its type (10MB for images, 100MB for videos, 50MB for documents). Choose a smaller file.

“File doesn’t look like a real {type}.”: The file’s contents don’t match its file extension or type (for example, a file renamed to end in .png that isn’t actually a PNG). Check the file and try a genuine one of that type.

Upload fails with a plan-limit message: You’ve reached your storage or media-item limit for your plan. A dialog offers to take you to upgrade your plan, and the dropzone also shows its own inline error message below the upload box. You can free up space by deleting media from the trash. See Manage your storage space.

Archive or Trash button is greyed out, showing “In use by a post or group”: The media is attached to a post. This blocks the action only while that post is pending or approved. Remove the media from the post, or wait until the post is no longer pending or approved (it publishes, is rejected, or expires) to try again.

“Media is attached to a pending or approved post” / “Media belongs to a group with pending or approved posts”: You tried to archive or trash an item still backing an active post (directly, or as a group’s shared image). Resolve the post first, then try again.
