Manage your storage space

Every plan includes a fixed amount of media storage. This page explains the storage gauge on the Media page, how to free up space, and how to buy a storage add-on if you need more.

Before you start

You need a brand selected. Storage is tracked per tenant, shared across all brands in your account.

Steps

  1. Go to Media in the sidebar. A storage bar sits above your library.
  2. Read the gauge: it shows {used} of {limit} (for example, “420 MB of 1.0 GB”) and, next to it, your item count as {count} of {limit} items. If your plan has no storage limit, it instead shows {used} used with a “no limit” note, and the item count shows without a “of {limit}”.
  3. Watch the color of the bar under the numbers: green while you’re under 75% used, yellow from 75% up to 90%, and red at 90% or more. The usage bars on the Billing & Usage page use different thresholds (green under 80%, yellow from 80% up to 100%, red at 100% or more), so don’t worry if the two pages show different colors at the same percentage.
  4. If you’ve bought a storage add-on, a line under the bar reads Plan {amount} + Add-ons {amount} (for example, “Plan 1.0 GB + Add-ons 2.0 GB”). It shows how your total limit breaks down, and it only appears once you have an active add-on.
  5. Select Get more storage at any time to go straight to the Billing page and buy a storage add-on.

The low-storage warning

Once your usage reaches 90%, a banner appears above the gauge on the Media page. From 90–99% used, it reads:

Storage {N}% full ({used} of {limit} MB). Move media you no longer need to the trash and empty it, or buy more storage on the Billing page.

At 100% or more, it instead reads:

Storage full ({used} of {limit} MB). Move media you no longer need to the trash and empty it, or buy more storage on the Billing page.

The banner is yellow from 90–99% and turns red at 100% or more.

Freeing up space

Storage is based on what’s actually stored, not what’s visible in your library. Here’s what counts and what doesn’t:

  • Move to trash does not free up space. A trashed item still counts against your storage and item limits until it’s permanently deleted, either by you or by the automatic 30-day purge.
  • Archive also does not free up space. Archived media is kept indefinitely and still counts against your limits. Archiving only moves an item out of your main library view.
  • Only Delete now (on a single item) or Empty trash (on everything in the trash) actually removes the file and frees the space it was using.

To free up space:

  1. Go to Media and switch to the Trash tab, or move items you no longer need there first with Move to trash.
  2. Select Empty trash to permanently delete everything in the trash at once, or open an item and select Delete now to remove it individually.
  3. Confirm the prompt. This can’t be undone.
  4. Check the gauge at the top of the page. It updates immediately after a delete.

If an item won’t archive, trash, or delete, it’s attached to a pending or approved post. Finish reviewing that post first, or remove the image from it.

Buying a storage add-on

If you need more room permanently, buy a storage add-on. Add-ons are extra storage purchased in blocks on top of your plan, and they stay with you even if you later change plans.

  1. Go to Settings → Billing.
  2. Find Need more media storage? partway down the page. Below it you’ll see your current breakdown: Plan {amount} plus Add-ons {amount} (if you have any), your total limit, and how much you’re using.
  3. Choose a size using the Blocks dropdown next to the storage option. You can buy 1, 2, 3, 5, or 10 blocks at once.
  4. Select Buy {N} GB storage (the button shows the exact size for the quantity you picked).
  5. If checkout is required, you’re redirected to complete payment. Otherwise you’ll see the message “Storage added — your new limit is active.” directly on the page, and your gauge updates right away.

If something goes wrong

  • “Storage add-ons are not configured yet. Contact support.”: Storage add-ons aren’t set up for purchase in this environment yet. Contact support to buy additional storage another way.
  • “Could not start the storage purchase.”: The purchase couldn’t be started. Try again in a moment. If it keeps happening, contact support.
  • “You’ve hit your plan limit” (with Upgrade your plan / Maybe later): This appears anywhere in the app the moment an upload would put you over your storage or item limit, for example while uploading a file or importing stock photos. Select Upgrade your plan to go to Billing, or Maybe later to dismiss it and free up space instead.
  • “File too large — max {N}MB for {category}.”: The specific file you tried to upload is over the per-file size limit (images: 10MB, videos: 100MB, PDFs: 50MB). This is separate from your overall storage limit. Reduce the file size or use a different file.
